This isn't a formality. The documents Bex handles are high-stakes. A misassigned observation can send the wrong subcontractor to the wrong location. A lien notice routed to the wrong person can mean a missed deadline. A pursuit advanced past a gate without the right scrutiny can commit your business to months of unprofitable work. The approval step ensures that Bex's speed and accuracy are paired with the contextual judgment that only your team can provide.

The key difference from manual processing is what you're reviewing. Instead of spending an hour reading a PDF and keying data into Procore, you spend a couple of minutes reviewing a clean summary that Bex has already prepared.

Here's a typical Bex Punch workflow:

  1. A consultant or superintendent emails a deficiency report (PDF, Word doc, spreadsheet, or just plain text and photos) to Bex.
  2. Bex reads the document and extracts every issue, regardless of format.
  3. For each issue, Bex selects the responsible trade, issue type, assignee, and other fields using fuzzy matching against your project setup.
  4. Bex emails an approval request to the designated project engineer or manager, showing all extracted issues and the field values it chose.
  5. The reviewer can reply in plain language to make corrections ("assign the drywall items to Rivera instead of Chen") or simply approve.
  6. If corrections were made, Bex sends an updated summary for final confirmation.
  7. Once approved, Bex saves the data to your system of record and notifies assignees—in English and Spanish—with everything they need to act.

Other modules follow analogous patterns:

  • Bex Liens sends a clean transcription back to the sender for verification before updating the master log, and refuses to commit critical fields that don't reach multi-pass AI consensus.
  • Bex Walks lets the walker review the AI-cleaned report before it's shared or pushed to a CMS.
  • Bex Risk produces a clean decision package at every gate; the decision-maker replies with a one-word verb (advance, needs rationale, stop).

The specifics vary by workflow, but the principle is constant: nothing of consequence happens without your say-so.

Some workflows benefit from running themselves on the routine cases and only surfacing the hard ones. Bex Insurance is the clearest example: most COI cycles are routine (a sub submits, Bex finds two missing items, the sub provides them, the sub is compliant), and that entire cycle now happens without a human on your side. Where Bex isn't sure—unusual policy structures, conflicting endorsements, jurisdiction-specific edge cases—it escalates to your risk team with the relevant documents and its own analysis attached. Same pattern in Bex Risk: if a reviewer goes quiet, Bex sends a reminder on day 3, another on day 5, and times out on day 7 (all configurable) so a pursuit never quietly stalls.

When you become a Harmonic Mean customer, you're assigned a dedicated Customer Success Manager (CSM) who handles everything related to Bex's configuration and ongoing optimization.

During onboarding, your CSM customizes Bex to follow your organization's rules: role-based access controls, approval routing, notification preferences, scoring rubrics, requirements files, even tone of voice. If your project engineers prefer terse summaries while your executives want more detail, Bex adapts accordingly.

Bex isn't a one-model wrapper—every LLM call has its own configuration (provider, model, temperature, retry policy), and the right model for the job today is rarely the right model six months from now.
