Voice-First Site Documentation: Why Talking Beats Typing in the Field

Gloves stay on, eyes stay up, and the detail survives.

The best field documentation tool is the one that captures what the walker actually knows, and most tools capture a fraction of it. A superintendent looking at a botched firestop penetration knows what's wrong, why it probably happened, which sub owns it, and what acceptable looks like. Ask them to thumb-type that into a phone form and you'll get "firestop missing 3rd flr." Ask them to say it and you'll get the whole paragraph. That gap—between what people know and what they'll type—is the case for voice-first site documentation.

Conversational speech runs around 150 words per minute. Typing on a phone keyboard averages roughly 36 words per minute for adults, and a Stanford-led study measuring speech against mobile keyboards found voice input about three times faster in English even after correction time. On a jobsite the gap widens further: gloves, dust, glare, cold, and a phone held in one hand while the other holds a ladder all tax typing and cost speech nothing.

Speed compounds into coverage. A walker who can capture an observation in twenty seconds of narration records more observations per walk than one who needs ninety seconds of screen work, and is less tempted to skip the marginal item—the one that wasn't quite worth stopping for. Documentation quality is mostly a function of how cheap it is to document.

The subtler effect is on what each observation contains. Under typing effort, people compress: abbreviations, sentence fragments, the minimum that will jog their own memory. The observation becomes a note to self rather than a communication, and its value decays as soon as anyone else needs to act on it—or as soon as the author forgets the context, which takes about a week.

Speech removes the pressure to compress. Narrating "water staining on the gyp board below the window head, second window from the northeast corner, looks like the sill pan is discharging inboard, needs the waterproofer back before the painter closes this up" costs perhaps twelve seconds. Nobody would type that sentence standing on a deck, and nearly everyone would say it. Eyes stay up while it's said, which matters on a site where the next hazard is at ankle or crane height rather than on a screen.

Field people who tried dictation years ago have earned their doubt, and the objections are specific. Jobsites are loud. Crews have accents. The vocabulary is dense with terms no consumer product has heard—EIFS, AFF, CMU, and the rest of a trade language that consumer dictation was never trained on. And raw transcripts, even accurate ones, read like what they are: a person thinking out loud, with every "umm," false start, and interruption preserved.

Modern transcription models trained on enormous and varied audio handle noise and accent far better than the phone dictation of a few years ago, and domain tuning handles the vocabulary—Bex Walks ships with construction terminology tuned in and can learn a company's own naming on top of it.
